Shopmatic Marketplaces FAQs

Introduction

The Shopmatic Marketplaces feature is a powerful tool to grow and expand your business online. This feature allows you to easily expand into multiple channels of sales by integrating various marketplaces into your Shopmatic webstore. On top of that, you will be able to control your products and manage orders across all these multiple marketplaces on a single simple dashboard. 

How is this feature applicable to me?

  • If you have already completed a webstore on Shopmatic, and are looking to expand into marketplaces
  • If you are already selling on a marketplace and looking to expand into your own webstore.
  • If you are already selling on a marketplace and looking to expand into other marketplaces
  • If you are already selling on multiple marketplaces and want a single platform to manage all your orders and products

Marketplace relationships

When enabling Lazada / Shopee/ Qoo10 on the Shopmatic platform, you are continuing your relationship directly with the respective companies and are still subject to their terms & conditions. All transaction fees & charges quoted by the respective companies are generated by them and are payable directly to them. Any transactional and operational queries that happen on their respective marketplaces should be referred to the respective companies directly. Any queries about the Marketplaces feature on the Shopmatic platform will be resolved by your dedicated Shopmatic Ecommerce Consultant.

Requirements to enable Marketplaces

To connect a marketplace to your Shopmatic platform, you would first need to have a completed account on the respective marketplaces.

Which are the Marketplaces available?

Depending on the country your account is based, there will be different Marketplaces available:
Singapore: Currently Lazada, Qoo10 and Shopee are available.
Malaysia: Currently Lazada and Qoo10 are available

How does the product syncing work? 

To help understand how the product sync logic of the Shopmatic Marketplaces feature works, please refer to the below illustration

The first time you enable a marketplace, the products from the marketplace will be synced into your Shopmatic Marketplaces Dashboard, thus updating your Shopmatic webstore as well

  • Your Shopmatic webstore and Shopmatic Marketplaces Dashboard will always be in sync. 
  • From your Shopmatic Marketplaces Dashboard you can then sync products into the various marketplaces with a click of a button (you can even customise what you want to sync, eg. different products to different marketplaces)

Your Shopmatic Marketplaces Dashboard works as the main depository of where all your products will sit. That means that you can bring in all your products from the different marketplaces into one single platform. From there, you can further decide which products can be further synced to other marketplaces.

Example:
Assuming Jason sells furniture online, then finds out about the Shopmatic Marketplaces feature.

Jason immediately signs up on the Shopmatic platform, subscribes to a plan, and enables the Shopmatic Marketplaces feature. Jason wants to continue selling only Tables on Shopee, and Jason also wants to continue only sellings Chairs on Lazada.

By enabling the Shopmatic Marketplaces feature, he can now sell both Table and Chairs on his Shopmatic Webstore, and can still continue to sell only Tables on Shopee and only Chairs on Lazada.

Jason then completes creating a Qoo10 account, and through the Shopmatic Marketplaces feature, he can then choose either to sell only Tables on Qoo10, only Chairs on Qoo10, or both Tables and Chairs on Qoo10.

Jason now also has the added advantage of managing all his orders and products from all the three different marketplaces and his webstore directly from his single Shopmatic account. 

Jason is now a very happy customer.

How long does it take for the product sync?

From the Shopmatic Webstore to the Shopmatic Marketplaces Dashboard, within a few minutes. To and from Shopmatic Marketplaces feature and the various marketplaces it may take a couple of minutes to an hour, depending on the marketplace and number of products being synced.

How long does it take for the orders to sync?

Almost instantly, it depends on the marketplace the order is syncing from. Anywhere from a few seconds to a few minutes.

How can I start using the Shopmatic Marketplaces feature?

  1. 1. Enable marketplaces – If you have an existing Lazada, Qoo10 or Shopee account, simply sign in using your Username and Password so that you can move on to the next two steps.

  1. 2. Manage products – Once you have a marketplace enabled, then you can start managing products from the Shopmatic Marketplaces feature. If you are pushing products from one marketplace to another, sometimes some additional product information is required.

  1. 3. Manage orders – Once you have a marketplace enabled, orders that happen from the marketplace will start showing on the Marketplace Orders Dashboard. From the dashboard, depending on the marketplace capabilities, you can:
  • Lazada – Execute Fulfillment, Update Invoice, Get Invoice, Get Shipping Label
  • Qoo10 – Get Airway Bill
  • Shopee – Execute Fulfillment, Get Invoice, Get Shipping Label

Can I stop using the Shopmatic Marketplaces feature?

Yes, you can. 

You can actually choose whether to simply Disable the marketplace (which allows you to ReEnable it later) or Remove a marketplace completely.

Disable – The listing of all the products in that marketplace will be disabled, it also means that you will no longer receive any new orders from the marketplace but will still be able to manage the existing orders on the Shopmatic Marketplaces feature. If ReEnabled, then all the products will be visible on the marketplace and also reinstates the ability to manage all products and orders again.

Remove – When a marketplace is removed, you will no longer be able to manage the product and orders of those marketplaces. Please note that any existing products and orders on the marketplace will need to be managed directly on their respective marketplaces.

Are there any additional charges to use the Shopmatic Marketplaces feature?

If you are a Shopmatic Pro customer and have taken a subscription plan, then there are no additional charges. If you are however on the transaction model, then the same standard 3% applies on all orders.

Enabling Marketplaces

Enabling Lazada

  1. 1. From the main dashboard, click on the drop-down menu and then on Marketplace
  2. 2. Click on Add Marketplace
  3. 3. Click on the Lazada logo
  4. 4. Click on I already have a Lazada account
    (if you do not have a Lazada account, you would need to create one first before this feature can be enabled)
  5. 5. Continue to enter your existing Lazada account details, and click on Submit
  6. 6. Done, your Lazada account is now syncing with your Shopmatic platform. Depending on the number of products that you have on Lazada, the syncing might take anywhere from a few minutes to a few hours.

Enabling Qoo10

  1. 1. From the main dashboard, click on the drop-down menu and then on Marketplace
  2. 2. Click on Add Marketplace
  3. 3. Click on the Qoo10 logo
  4. 4. Enter your Qoo10 Username and Password and click on Add.
    (if you do not have a Qoo10 account, you would need to create one first before this feature can be enabled)
  5. 5. Done, your Qoo10 account is now syncing with your Shopmatic platform. Depending on the number of products that you have on Qoo10, the syncing might take anywhere from a few minutes to a few hours.

Enabling Shopee

  1. 1. From the main dashboard, click on the drop-down menu and then on Marketplace
  2. 2. Click on Add Marketplace
  3. 3. Click on the Shopee logo
  4. 4. Click on I already have a Shopee account
    (if you do not have a Shopee account, you would need to create one first before this feature can be enabled)
  5. 5. Please click on the first drop-down menu option
  6. 6. And select Shopee.sg (Only Shopee.sg is currently available)
  7. 7. Once you have selected Shopee.Sg, then please enter your Username/Email/Phone and Password and click on Login
  8. 8. Next, on the Authorization page, click on Yes
  9. 9. Done! your Shopee account is now syncing with your Shopmatic platform. Depending on the number of products that you have on Shopee, the syncing might take anywhere from a few minutes to a few hours.

Manage Marketplace Products

Once you have successfully enabled one marketplace on your platform, then the option to manage the Marketplace Products tab will appear. Click on it and the manage your marketplace products page will load.

On the Marketplace Products page, there are two further categories,
i. Product List – This shows you all the products that have been synced on the Shopmatic Marketplaces Dashboard
ii. Updates Required – This shows you products that require additional product information

Product List

On the Product List tab, you will be able to see all the products that are currently synced to your Shopmatic webstore and also the products from the various marketplaces that you have enabled.

The columns on the Product List table, will show these details of a product:

  1. 1. Image*
    – The first image of the product
  2. 2. Name*
    – The name of the product
  3. 3. SKU
    – The Stock Keeping Unit code of your product (this is used to stop duplicate products from appearing)
  4. 4. Sale Price*
    – The selling price of the product
  5. 5. Stock*
    – The total stock of the product
  6. 6. Status
    – There are six different status

    1. i. Live: Product is Live on the respective marketplace (refer to Marketplace column to know which)
    2. ii. Draft: Product is not Live on any marketplace
    3. iii. Pending: Product that was rejected from the marketplace (please do check the Updates Required tab for more details)
    4. iv. Out of stock: Product which is live on the marketplace but not visible as it is out of stock or the stock quantity is less than the minimum quantity required by the marketplace.
    5. v. Disabled: Product which was live and has sufficient stock quantity but has been disabled
    6. vi. Deleting: A product which merchant has been deleted (Deleted products takes some time to update across the various marketplaces)
  7. 7. Marketplace
    – Shows which marketplace the product is currently listed on
  8. 8. Updated At
    – Shows the last time and date that the product was sync on the Shopmatic Marketplaces dashboard

*The SKU is the main identifier for all products, this means that if there are matching SKUs found, then the product details of the newest source will take precedence over the existing product details.

Search Filter

By clicking on the Filter button, you can filter your search based on the Product Name or Product SKU, Product Status, or from which Marketplace Account.

Managing Products

To manage a product, simply click on the Name of the product, and it will load the Product summary page

On the Product summary page, there are a few further actions that can be taken:

  1. 1. Edit and Edit by Marketplace – Choose to update the product details on the main Shopmatic Marketplaces which is the master product copy, or choose to update the product details individually as per the marketplace (Lazada, Qoo10, Shopee). Please refer to the ‘Edit Product’ section below for more details.
  2. 2. Push and sync products – Push the product to various marketplaces that have been linked to your Shopmatic Marketplaces dashboard, simply click on the available marketplace (Lazada, Qoo10, Shopee) and click on the green button “Push to account name”. Please refer to the ‘Push and sync product’ section for more details.
  3. 3. Manage the product variants by clicking on the product variant name
  4. 4. Delete the product – Choose to either delete the product from a particular marketplace or delete the product entirely from the Shopmatic Marketplaces Dashboard.
Edit Product

On the Edit Product page, there are a lot more product details that can be added compared to the Shopmatic Webstore. The reason for this is that different Marketplaces will require different product listing requirements.

These are the explanations of the fields on the Edit Product page:

  • Name: The name of the product
  • SKU: The Stock Keeping Unit code of your product (this is used to stop duplicate products from appearing)
  • Short Description:
  • Text Description:
  • Description: The product description
  • Header:
  • Footer:
  • Images: The images of the product
  • Video: If you have a video URL on the product, you can enter it here
  • Retail Price: The original price of the product (not the actual product selling price)
  • Sale Price: The actual product selling price
  • Stock/Quantity: The total stock of the product
  • Variant SKU: The product variant Stock Keeping Unit code of your product (this is used to stop duplicate products from appearing)
  • Variant Retail Price: The product variant original price of the product (not the actual product selling price)
  • Variant Sale Price: The actual product variant selling price
  • Variant Stock/Quantity: The total stock of the variant product
  • Variant Images: The product variant images

Please remember to click on ‘Next’ after editing the product to save the changes!

Push and sync products

As shown in the image below, this product ‘2 Seater Sofa Set’ is currently only available on Shopee. Using the Shopmatic Marketplace feature, you can push this product across to another marketplace by clicking on the green ‘Push’ button on the respective marketplace tabs.

After clicking on the green ‘Push’ button, you will be presented with 3 steps to complete.

The first step is to select the category that best matches your product. You can type out the category name to help narrow down the search.

Next, complete any missing information as required by the marketplace, click on ‘Next’ when ready to proceed.

Finally, review the product details to ensure that all the information is correct, when ready, click on ‘Push’

The product will now start syncing with the marketplace.

If it is successfully pushed from the Shopmatic Marketplaces feature, then this success notification will show. It might take some time before the product actually appears in the marketplace. Please note that the marketplace will still have the final decision whether to approve the product listing or not.

Bulk product push and sync

There is also a way to push products in bulk to a different marketplace, from the Product List tab, simply select the products that you want to push to another marketplace, and click on the ‘Export Selected Products to Marketplaces’ button at the bottom of the page

Next select which marketplace you would like to push your products to and click on ‘Export’

As different marketplaces have different product information requirements, you would need to click on the ‘Updates Required’ tab, and from there fill in the insufficient data fields just like the ‘Push and sync products’ section above.

Managing Marketplace Orders

The most important page of the Shopmatic Marketplaces Dashboard!

Managing your orders from the various marketplaces, and giving you a complete picture of your online business empire. Please find the below definitions for the various statuses.

  • Pending: Order placed by Buyer but not confirmed by the marketplace
  • Paid: Order placed by Buyer and confirmed by the marketplace and awaiting for Seller action.
  • Ready To Ship / Packed: Order acknowledged by Seller and packed and ready for shipping 
  • Shipped: Order shipped by the Seller and in transit to Buyer
  • Delivered: Order has been delivered to the Buyer
  • Returned: Ordered product has been returned back to the Seller
  • Canceled: Order is canceled by the Seller, Buyer or marketplace
  • Failed: Marketplace fails to acknowledge the order placed by the Buyer

  • Qoo10 – Get Airway Bill
  • Shopee – Execute Fulfillment, Get Invoice, Get Shipping Label
